Teams & Roles
Invite your agency team and assign roles to create structured, traceable approval workflows. Everyone sees the same themes — but can only approve within their role's scope.
Overview
Your workspace supports multiple team members with different roles. When a team member approves a page, their name, role, and timestamp are recorded permanently.
Roles & Permissions

Inviting Members
Open the Team page
Click the gear icon (bottom of Rail 1) → Team.
Enter email and choose a role
Type the team member's email and select their role from the dropdown.
Share the invite link
The invite link is valid for 7 days. Send it via email, Slack, or however your team communicates.
They sign in
When they sign into ThemeSync with the invited email address, they're added to your workspace automatically — no confirmation step needed.
Approval Workflow
Approvals are tracked across three dimensions: Page × Viewport × Role.
A theme is ready to ship when:
- All required roles have approved each page at each viewport
- All feedback comments on those pages are resolved
- No Critical code scan findings remain
Approval badge states
| Badge | Meaning |
|---|---|
| ✅ Green | Approved — role has signed off |
| ❌ Red | Rejected — includes a reason; needs fixing and re-review |
| ⬜ Grey | Pending — no decision yet |
Hover any badge to see who made the decision and when. Admins can revoke approvals if a change requires re-review.
